Terms & Conditions
• Deposit: A minimum deposit of $500.00 per person is required within 7 days from booking. Some properties may require an additional deposit to secure the booking as outlined on your quote. All deposits are non-refundable once received. • Final payment: Is due no later than 90 days prior to departure, or 7 days from confirmation if booking is within 90 days. Failure by the client to pay the outstanding balance by the due date may cause the auto-cancellation of the booking whereupon the deposit paid by the client shall be forfeited. Final documents will not be released until the booking is paid in full. • Professional Fees: $ 10.00 Administration Fee – per person travelling $ 30.00 per Amendment – changes to a booking once booking has been confirmed $200.00 per Amendment inside 30 days of departure – changes to a booking inside 30 days of departure $ 50.00 per Late Booking – bookings made inside of 21 days of departure $ 30.00 per Late Payment – per week for any final payments not received by due date $ 30.00 per Late Booking Form – per person for completed booking forms NOT received by Final payment $ 50.00 per Travel document re-issue – in addition to supplier re-issue fees $ 50.00 per Land only booking fee – bookings made for only Land Content that do not include airfares • Cancellations: Any cancellations must be received in writing. Minimum fees are 1. Up to 90 days prior to departure – full deposit will be forfeited. 2. 90 to 45 days prior to departure – full deposit or 50% of total cost may apply. 3. Within 45 days of departure – 100% of total cost may apply. • Payment options: Direct deposit, cheque or credit card facilities are available subject to the following fees: 1.5% surcharge - Visa & MasterCard 3% surcharge - American Express • Exchange rates: All prices quoted are subject to change (based on currency fluctuations) until final payment has been processed. • Travel insurance: Travel insurance is mandatory for all ski or boarding trips. Travel insurance can be purchased from Deep Powder Tours with Suresave Travel Insurance or you may opt to purchase elsewhere, but proof of purchase must be supplied to DPT. Always read the PDS to ensure that you have the correct coverage. Travel Insurance AR#287497. We suggest taking out your policy at the time of deposit, to cover you for cancellation fees in the unfortunate event of a cancellation (conditions apply relating to coverage – refer PDS). • Bookings: Deep Powder Tours is a fully licensed IATA Travel Agent – Travel agent licence # 2TA-5846. • Responsibility: Deep Powder Tours acts only as an agent for the companies (Principals) providing or offering the means of travel, accommodation and other services and as such has no control over any services or products provided by these Principals. All bookings made are subject to the booking terms and conditions under which these services are provided. The Company and its Principals reserve the right, without liability or right of compensation, to prohibit or restrict any activity, or cancel or alter any service or itinerary component, without notice, in their absolute discretion. Deep Powder Tours will not be held responsible for the inability of the Principals to comply with any special request relating to age, medical conditions, physical ability or disability, dietary requirements, allergic conditions or smoking or non-smoking accommodation. • Airfares: Airfares can be purchased through Deep Powder Tours as part of your travel package. The conditions for the purchase of the airfare will be dependent on the airline & airfare that you are booked on and will be advised to you by Deep Powder Tours at time of quotation and confirmation. It is the passenger’s responsibility to ensure that correct spelling of names for persons traveling is advised to Deep Powder Tours at time of booking. • Transfers: Any transfers missed or not utilized by the client are non refundable. The cancellation policy of each service provider will determine whether a missed transfer can be moved to an alternate time/date. • Security bond & Passport Details: Your credit card details may be required as security on the potential cost of property damage & expenses incurred, and passport details as required by Japanese Law. By signing this form you agree to provide a copy of your credit card if requested and you authorise DPT to pass on passport details if required. • Booking Form: A booking form is required for each passenger booked to travel with Deep Powder Tours. For group bookings, it is the responsibility of the person whose name holds the booking, to ensure that each member of their group is aware of the booking conditions and completes and returns a booking form. Booking forms are required at the time of booking deposit. The information provided on your booking form is essential for your booking details and travel arrangements. • Liability: I acknowledge & understand that skiing & snowboarding are sports are hazardous and have inherent risks of injury &/ or death. I voluntarily agree to assume all risks of injury or death that may result to me from skiing or snowboarding. I hereby release Deep Powder Tours & their employees & agents of any obligation to advise me in relation to the dangers obvious or not, inherent in the sport. I accept that I will participate in such sport(s) of my own free will & never at the direction of Deep Powder Tours &/or their employees and agents. I voluntarily take full responsibility for any damage or injury to myself or which I may cause to others whilst in Japan.
